OFFICE MANAGER

ABOUT THE ROLE 

The Office Manager will play an integral role in helping AIW develop an efficient and well-organized office. They will create and fulfill processes around booking travel, managing reimbursements and organizing and maintaining files. They will also assist the Executive Director in special projects and development. 


OVERVIEW OF  RESPONSIBILITIES 

  • Provide comprehensive support services to the Executive Director that ensure outstanding communication and responsiveness, including: 

    • Create and manage a CRM platform to engage with our email lists, including funders, donors, and greater community;

    • Coordinate and schedule meetings and events, including periodic board meetings, and assist with board communications;

  •  Develop an efficient and well-organized office:

    • Maintain organization of department files (including network drives log-ins), ordering and stocking office supplies, and owning the logistics for all team meetings and events.

    • Database entry and other database work as assigned

    • Coordinate travel arrangements and meeting logistics for AIW staff. 

  • Provide assistance with finance, human resources and development functions as needed:

    • Prepare financial transaction documents for organizational expenses, including bills, handling invoices, deposits, expense reports, and check requests and manage vendor correspondences and other financial management tasks; 

    • Taking on ad hoc special projects related to funder development, including assistance with editing donor materials and with preparing for and executing donor briefings both in person and remotely (including the preparation of donor one-sheets)

    • Works with our fiscal sponsor’s support team to ensure AIW’s administrative and accounting is accurate;

    • Seamlessly onboarding new employees by managing paperwork and anticipating questions.

  • Become deeply familiar with Race Class Narrative research and messaging insights, integrate them into our work and occasionally conduct research issues of interests that support AIWs mission. 

DESIRED QUALIFICATIONS 

  • Intermediate to advanced knowledge and skills with Microsoft Office and Project Suite (including Word, Excel, PowerPoint), Google Suites, and Zoom. 

  • Excellent verbal and written communication skills.  

  • Excellent organization, project and time management skills and the ability to respond to day-to-day needs while balancing priorities. 

  • Ability to work both independently and collaboratively with AIW and fiscal sponsor staff. 

  • Ability to handle sensitive and confidential situations with discretion. 

  • Experience in office administration, financial support and some event planning. 

  • Ability to meet deadlines, manage multiple projects, and manage workflow both independently and collaboratively. 

ADDITIONAL INFORMATION

  • This is a full-time salaried position with an annual salary of $60,000-$65,000. 

  • Work will be remote with some in-person meetings, at which point staff will be based in Wisconsin.

  • This position will report to the Executive Director.

Dr. Cass Bowers

Dr. Cass Bowers is a respected movement communications leader in Wisconsin. Dr. Bowers has led our communications and narrative work since early 2021 and has recently founded and implemented the BIPOC Communicators fellowship and hub. As the Executive Director, Dr. Bowers is leading a new, bolder initiative for narrative work in Wisconsin. She hopes to build stronger community relationships throughout the entire state.

Dr. Bowers has a Ph.D. in Business from Northcentral University. Her research focused on Black women leaders in nonprofit organizations. She has over 20 years of experience in human resources, training, and communications and is a former educator with over 10 years of teaching experience.
